Before Travel

As detailed in the May 20 travel restrictions update from the Office of the Provost and May 28 answers to research-related questions email from the Office of Research, KU has authorized the resumption of limited travel activity that accords with state guidelines and follows personal and community safety precautions. The Essential Travel Approval process – required for all KU travelers – is designed to ensure those standards are met during this period of restricted travel, when COVID-19 remains a significant concern. Please review this Essential Travel Approval process to understand your responsibilities before planning any university-sponsored travel.

 

If this is your first time using the Concur Travel Program, please review the Concur Travel Getting Started Checklist for the checklist of items you need to do before you can book travel in Concur Travel.

Out-of-State and International travel must have an approved travel request completed in Concur prior to making travel arrangements.  Travelers must gather estimates to capture travel costs and submit the following information to their SSC or travel processer so a Concur Travel Request (TR) can be created:

  • Name & contact info of Department approver
  • Trip Location
  • Depart & Return Dates
  • Personal Time - if applicable
  • Trip Business Purpose
  • Conference Website - if applicable
  • Estimated Business Expenses (e.g., airfare, lodging, rental or taxi, per diem, registration fee, mileage, etc)
  • Travel Funding
  • Travel Document attachments – if applicable

This information can be provided to the SSC via the SSC Travel Request Form or forwarded from a department form.

Once the Concur TR is approved the travel can be booked in Concur Travel.
